Privacy Policy

Role model: COREGAME is generally a processor for Customer-controlled Participant Data, and a controller for website, account, billing, security, and direct business-contact data.
1.Scope
This Privacy Policy explains how COREGAME Technology Solutions L.L.C., operating Takamol4 at takamol4.com, handles personal data through the website, platform, sales process, customer support, and related services. It is issued having regard to Law No. 13 of 2016 on Protecting Personal Data Privacy of the State of Qatar and, where applicable to a specific Customer or participant, other data-protection laws.
2.Data we collect
- Account and contact data — name, work email, organization, role, language, and login information.
- Participant and session data — session identifier, responses, choices, timing, scores, rankings, feedback, and generated reports.
- Customer administration data — workspace settings, facilitators, branding, and participant lists.
- Billing and contract data.
- Technical and security data — IP address, device and browser data, logs, authentication events, and diagnostic information.
- Communications and support requests.
- Optional survey or marketing preferences.
3.Why we use personal data
We use personal data to provide and secure the service; authenticate users; run simulations; calculate results; provide dashboards and reports; support Customers; administer subscriptions; prevent abuse; maintain records; improve functionality; communicate service information; comply with law; and, where permitted and with consent where required, market Takamol4 to business contacts.
4.Legal and contractual grounds
Depending on context, processing may be based on: the individual's consent where required; the necessity of processing to perform a contract; compliance with a legal obligation; a legitimate purpose of COREGAME as controller, where processing is necessary for that purpose and does not prejudice the individual's rights; or documented instructions from the Customer acting as controller. The Customer is responsible for establishing the lawful basis for Participant Data it submits or causes COREGAME to process.
5.Customer-controlled data
For Participant Data processed on behalf of a Customer, the Customer determines the purpose of the simulation, participant selection, access to results, and permissible use. Participants should direct access, correction, objection, or deletion requests to the sponsoring organization. COREGAME will assist the Customer as required by contract and applicable law.
6.Sharing
We may share data with authorized Customer personnel; the subprocessors listed in the Subprocessor List, who provide hosting, database, authentication, and email functions; professional advisers; authorities where legally required; and a successor in a corporate transaction, subject to appropriate protections.
We do not sell personal data. We do not display advertising on Takamol4.
7.International transfers
Takamol4's infrastructure is located outside the State of Qatar. Application hosting, the database, authentication, file storage, and backups are operated in Ireland, within the European Union. Transactional email is processed in the United States by Resend, Inc., which is certified under the EU–US Data Privacy Framework and whose data processing agreement incorporates Standard Contractual Clauses.
This means that personal data you or your organization submit to Takamol4 — including participant responses and results — is transferred outside Qatar and processed in Ireland, and that email content is further processed in the United States. Authorized COREGAME personnel in the State of Qatar may access this data to operate and support the service.
COREGAME applies contractual, technical, and organizational safeguards to these transfers and discloses each location in the Subprocessor List and the Data Residency and International Transfers Statement. Customers with sector-specific or public-sector residency obligations should review those documents before purchase.
8.Retention
Account, contract, and billing records are retained as required for service delivery, legal, tax, and audit purposes.
Participant Data is retained for 24 months after the relevant session, unless the Customer configures or contracts for another period. Deleted data may remain in protected backups for up to 7 days, after which it is overwritten or deleted according to backup cycles.
9.Security
COREGAME uses risk-based safeguards including access controls, tenant separation, encryption in transit, encryption at rest, secure authentication, logging, vulnerability management, backups, and incident response. These are described in the Security Overview, available to Customers on request. No system is completely secure.
10.Individual rights
Subject to applicable law and role allocation, individuals may request access, correction, deletion, restriction, objection, withdrawal of consent, or information about processing and disclosures. Requests may require identity verification. Participant requests may be referred to the relevant Customer.

11.Cookies and analytics
We use strictly necessary technologies for sessions, security, language, and preferences. We do not currently operate analytics, advertising, or tracking cookies. If that changes, the Cookie Policy will be updated and, where required, consent will be obtained before activation.
12.Children
Takamol4 is designed for workplace, higher-education, and professional users. It is not directed to children. Use by minors requires prior written approval from COREGAME and appropriate Customer and guardian authorization.
